Please read these terms before booking. They explain what you can expect from us and what we need from you to make your trip go smoothly.
Acceptance of these terms
These Terms & Conditions apply to all bookings made with TourDeparture, operated by [Your Registered Company Name Pvt. Ltd.] (“we”, “us”, “our”), and to your use of tourdeparture.com. By making a booking or using our website, you agree to these terms on behalf of yourself and everyone travelling in your booking. Please read them carefully, together with our Privacy Policy.
Our services
We arrange fixed-date group tours and customised holiday packages. A package usually combines flights, hotels, transfers, sightseeing and a tour manager, as described in the itinerary for that tour. Services such as flights, hotels and transport are provided by independent suppliers, and are also subject to their own terms.
Bookings and confirmation
- A booking is confirmed only when we receive the advance payment and send you a written confirmation by email or WhatsApp.
- The lead traveller must be at least 18 years old and is responsible for all payments and for sharing these terms with everyone in the booking.
- Names must exactly match each traveller's passport or government ID. Charges for name corrections are payable by you.
- Please check your confirmation and itinerary as soon as you receive them and tell us about any errors within 48 hours.
Prices and payments
- Prices are in Indian Rupees (₹) per person on twin-sharing, unless stated otherwise.
- An advance of 10% of the tour price is required to confirm your seat. The balance is due no later than 30 days before departure. Bookings made within 30 days of departure must be paid in full.
- If the balance is not received on time, we may treat the booking as cancelled by you and apply the cancellation charges below.
- GST and Tax Collected at Source (TCS) apply as per Indian law and are shown separately on your invoice. PAN details are required for overseas tour packages.
- Prices are based on airfares, hotel rates, taxes and exchange rates at the time of publishing. If any of these change before full payment, we may revise the price and will inform you before charging any difference.
What is included and not included
Each tour page lists exactly what is included. Unless clearly mentioned, prices do not include: personal expenses, meals not listed in the itinerary, tips, optional activities, excess baggage, visa fees for non-Indian passport holders, travel insurance for travellers over the covered age, or costs caused by flight delays and events outside our control.
Changes by you
You can request changes to dates, hotels or travellers. We will try to help, but changes depend on availability and may involve supplier charges and a change fee. Changing to a different departure within 30 days of travel is treated as a cancellation.
Changes and cancellations by us
- We plan every departure to run as published. Occasionally we may need to change a hotel, flight timing or the order of sightseeing. We will replace it with something of a similar standard and inform you as early as possible.
- If we cancel a departure for reasons other than force majeure, you can choose another departure or a full refund of the amount you have paid.
- If a major change is made before departure, you may accept it, choose another tour, or cancel for a full refund.
Passports, visas and health
- You are responsible for holding a passport valid for at least 6 months beyond your return date, with enough blank pages.
- We help with visa applications, but the decision to grant a visa rests only with the embassy or consulate. We are not responsible for visa refusals or delays, and the cancellation charges above apply if a visa is refused.
- You must meet any health, vaccination or entry requirements of the countries you visit, and tell us before booking about any medical condition that may affect your travel.
- We strongly recommend travel insurance that covers medical expenses, cancellation and loss of baggage.
Conduct on tour
We want every traveller to enjoy the trip. Please follow the instructions of your tour manager, respect local laws and customs, and be considerate of fellow travellers. We may remove a traveller from the tour without refund if their behaviour puts others at risk or seriously disrupts the group.
Our responsibility
We take care in choosing our suppliers, but we do not own or control airlines, hotels or transport companies. We are not liable for loss, injury, delay or damage caused by their acts or omissions, or by you or a third party. Where we are found liable, our liability is limited to the price you paid for the tour, except where the law does not allow such a limit.
Events outside our control
We are not responsible for failure or delay caused by events beyond our reasonable control, such as natural disasters, extreme weather, epidemics, war, terrorism, strikes, government action, airport closures or flight cancellations. In such cases we will do our best to help and will refund any amounts we recover from suppliers, minus our costs incurred.
Use of our website
- All content on this website, including text, design, logos and images, belongs to us or our licensors and may not be copied or reused without written permission.
- We try to keep tour details, prices and availability accurate, but errors can happen. We may correct them, and the price confirmed at booking applies.
- You must not misuse the website, attempt to gain unauthorised access, or submit false information.
Governing law and jurisdiction

Changes to these terms
We may update these terms from time to time. The version on this page at the time you book applies to your booking.
